Ministry Executive (Hospitality)

The Ministry Executive (Hospitality Ministry) plays a central role in shaping the first and lasting impressions of Christ Methodist Church. This is a role for someone who understands that hospitality is not merely a function — it is a ministry. Every smile at the info counter, every warm welcome from an usher, every cup of coffee served at the barista station, is an act of grace extended in Christ’s name — able to create significant impact for especially new visitors and fostering connections in the community.

Reporting to the Worship Director, the Ministry Executive oversees the day-to-day coordination and pastoral care of CMC’s Hospitality Ministry, which comprises seven volunteer teams: the Info Counter, Visitor Meeting Point, Ushers, Breakfast Ministry, Baristas, Car Park Wardens, and Security. Beyond Sunday operations, this role carries significant responsibility for the visitor journey — from the moment a new face walks through our doors to the ongoing follow-up that helps them find a home in the CMC community.

This role carries an equal emphasis on operations and people — ensuring that each weekend service, weekday programme, and special event runs with excellence, while investing in the recruitment, training, and long-term care of the volunteers who make it all possible.

MINISTRIES OVERSEEN

The Ministry Executive provides oversight and coordination support across the following volunteer teams:

  • Info Counter — First point of contact for members, visitors, and general enquiries
  • Visitor Meeting Point — Welcoming, orienting, and journeying with first-time visitors to CMC
  • Ushers — Facilitating worship services, managing seating, and supporting congregational flow
  • Breakfast Ministry — Coordinating and serving pre-service fellowship meals
  • Baristas — Serving beverages as an expression of fellowship and welcome
  • Car Park Wardens — Managing carpark operations and traffic during services and events
  • Security — Ensuring a safe and orderly environment for all who worship at CMC

KEY RESPONSIBILITIES

A. Ministry Operations & Coordination

  • Oversee the smooth running of all Hospitality Ministry teams across Sunday services, weekday programmes, and special events (including church-wide celebrations, camps, conferences, and other major occasions)
  • Develop and maintain operational schedules, deployment rosters, and service run sheets for each team in coordination with hospitality team leaders
  • Conduct pre-service and post-service coordination, identifying gaps and resolving operational issues promptly
  • Ensure all hospitality touchpoints — from carpark entry to worship hall — reflect CMC’s culture of warm, intentional welcome
  • Coordinate with other ministry teams and the facilities team to align hospitality coverage with event requirements
  • Maintain and regularly review standard operating procedures (SOPs) for each team to ensure consistency and service excellence

 B. Visitor Experience & New Visitor Follow-Up

  • Oversee the end-to-end visitor experience at CMC — from first contact at the Visitor Meeting Point through to post-visit follow-up, ensuring every new visitor feels genuinely welcomed, seen, and cared for
  • Develop and implement a structured new visitor journey, encompassing welcome protocols, visitor registration, post-service engagement, and integration pathways into the CMC community
  • Coordinate timely and warm follow-up with first-time visitors — through personal notes, calls, or messages — working with the pastoral team and relevant ministry leads to ensure no visitor falls through the cracks
  • Track visitor attendance data and follow-up outcomes, using insights to continually improve CMC’s welcome and assimilation process
  • Work closely with the Visitor Meeting Point team to equip volunteers with the relational skills, information, and resources needed to connect meaningfully with new visitors
  • Liaise with care group leaders, pastoral staff, and ministry heads to facilitate warm handoffs and introductions for visitors who wish to explore deeper connection with CMC
  • Develop and maintain visitor resources — including welcome packs, information materials, and digital touchpoints — that reflect CMC’s identity and help new visitors navigate their next steps

 C. Volunteer Recruitment & Onboarding

  • Proactively recruit new volunteers into the Hospitality Ministry, working with the congregation and small group networks to identify and invite potential servants
  • Design and conduct onboarding processes that orient new volunteers to CMC’s values, hospitality culture, and their specific team roles
  • Maintain an updated volunteer database, tracking team strengths, availability, and deployment gaps
  • Work with team leaders to ensure adequate volunteer coverage across all services and events

D. Volunteer Training & Development

  • Develop and deliver training programmes for volunteers across all seven teams, covering both practical skills and the theology of servant ministry
  • Equip team leaders to lead, shepherd, and develop their own team members with confidence
  • Organise periodic team gatherings, workshops, and refresher trainings to build team cohesion and ministry competence
  • Identify and develop emerging leaders within the volunteer pool for future team leadership roles

E. Volunteer Care & Pastoral Support

  • Cultivate a culture of care, belonging, and appreciation within the Hospitality Ministry volunteer community
  • Maintain regular personal contact with team leaders and volunteers, checking in on their wellbeing and ministry journey
  • Coordinate volunteer appreciation initiatives and recognition efforts throughout the year
  • Work with the Worship Director to ensure volunteers who require pastoral attention are appropriately supported and referred

F. Special Events Coverage

  • Plan and coordinate hospitality operations for all special services and events, including Good Friday, Easter, Christmas, church anniversaries, camps, and conferences
  • Liaise with event coordinators and ministry leaders to ensure full hospitality coverage is in place well in advance
  • Brief and deploy volunteers specific to each event’s requirements, ensuring a seamless and welcoming experience for all attendees — including the higher proportion of new visitors that typically attend special services

H. Administration & Reporting

  • Maintain accurate records of volunteer deployment, training attendance, ministry participation, and visitor follow-up
  • Prepare periodic reports on ministry health, volunteer numbers, visitor trends, and operational matters for the Worship Director
  • Manage the ministry’s budget, track expenditure, and submit claims in accordance with CMC’s financial guidelines

  • Strong organisational and coordination skills, with the ability to manage multiple teams and concurrent events
  • Genuine warmth and relational intelligence — able to build trust with volunteers, visitors, and church members across diverse ages and backgrounds
  • Clear and confident communicator, both in writing and in person; able to represent CMC warmly in first impressions and follow-up interactions
  • Comfortable with data — able to track visitor records, follow-up outcomes, and volunteer metrics with accuracy and consistency
  • Proficient in Microsoft Office; familiarity with church management systems (e.g. CMC Trellis) or volunteer scheduling platforms is a plus
  • Able to work flexible hours including weekends, public holidays, and special event days as required by the role

Personal Attributes

  • A committed follower of Jesus Christ with a heart for the local church and a genuine love for people — especially those who are new and still finding their way
  • Understands and embodies the theology of hospitality — that welcoming others is an act of worship and witness
  • Humble, approachable, and servant-hearted; leads by example on the ground
  • Emotionally mature and relationally sensitive — able to care for volunteers and visitors with discernment and grace
  • Self-motivated and dependable, with the ability to work independently and as part of a team

We recognise that the right person for this role may not fit a conventional ministry profile. Faith, character, and a genuine heart for people will weigh significantly alongside qualifications and experience.

This is a role that sits at the intersection of the spiritual and the technical — one that calls for someone to be equally at home in spiritual disciplines and in a production booth, who understands that every lighting cue, every audio check, and every rehearsal is an act of preparation for the people of God to encounter Him.

The role spans ministry coordination, audio-visual and production operations, volunteer development, and administrative support — covering CMC’s main worship services, IGNITE Youth and other language services and the full calendar of church-wide events. • Serve as a key point of coordination between the Worship & Music Ministry and other ministries requiring worship & music related support
  • Attend and actively participate in all scheduled staff meetings, ministry planning meetings, and Worship & Music committee meetings
  • Maintain ongoing and consistent communication with the Worship Director and Worship Chairperson to uphold and advance the vision of the ministry

  • Maintain a working knowledge of CMC’s current AVL systems, presentation software (e.g. ProPresenter, Canva etc), and stage equipment — staying current with developments in worship technology
  • Monitor the condition of all equipment — musical instruments, audio consoles, lighting rigs, video systems, and staging infrastructure — coordinate with AVP Executive for timely servicing and repairs as needed
  • Proactively research and recommend upgrades or improvements to CMC’s technical systems in consultation with the Worship Director
  • Maintain regular dialogue with AVP Executive, AVL Team heads and the Chief Musician to ensure technical and musical elements are well-integrated for each service

 C. Volunteer Recruitment, Training & Development

  • Work closely with the Worship Director and Worship Chairperson to recruit volunteers across all worship ministry teams — musicians, vocalists, audio engineers, lighting operators, video operators, and stage crew
  • Develop and deliver training programmes to equip volunteers with both the practical skills and the spiritual formation needed to serve in worship ministry
  • Nurture and develop volunteer team leaders, building a culture of ownership, commitment, and mutual care within each team
  • Maintain an updated volunteer database, managing scheduling and deployment across services and events
  • Identify and invest in emerging leaders within the volunteer community for future team leadership roles

 D. Music Ministry Coordination

  • Assist the Worship Director in coordinating the various music ensembles and groups within CMC’s Worship & Music Ministry, including the Choirs, CMC Strings, Joybells, Drama Team, and any other groups that develop as the ministry grows
  • Serve actively in the worship team as a musician or vocalist, contributing to the musical life of the church
  • Develop a growing appreciation of Christian music across genres and generations — from traditional hymns to contemporary worship — and help curate a repertoire that serves CMC’s multi-generational congregation

E. Administration & Reporting

  • Maintain accurate ministry records including equipment inventory, volunteer rosters, training logs, and event documentation
  • Assist in the preparation of ministry budgets, tracking expenditure and submitting claims in accordance with CMC’s financial guidelines
  • Support communications relating to the Worship & Music Ministry — including scheduling, briefings, and updates to volunteers and stakeholders
  • Undertake any other duties assigned by the Worship Director or Pastor-in-Charge

REQUIREMENTS & QUALIFICATIONS

Education & Experience

  • A Diploma or Degree is required; a qualification in Music, Audio Engineering, Music Technology, or a related field is an advantage
  • Minimum 3 years of relevant working experience in a worship or production ministry context, ideally in a church with a congregation of 800 or more

Technical Skills & Musical Competencies

  • Working knowledge in the operation of audio consoles, lighting systems, video systems, and presentation software (e.g. ProPresenter, or equivalent)
  • Able to play an instrument or serve as a vocalist in a worship team setting
  • Broad musical literacy — familiar with both traditional church music (hymns, classical arrangements) and contemporary worship, and able to work across both
  • Comfortable learning and adopting new software, platforms, and AVL technologies as they emerge
  • Experience in production planning and event execution in a ministry or live events context

Personal Attributes & Character

  • A mature, growing follower of Jesus Christ who has been actively attending and serving in a church community for at least five years

  • Self-motivated and organised, with strong initiative and the ability to manage multiple responsibilities without close supervision
  • Effective communicator — clear, detailed, and professional in both written and verbal contexts
  • Committed to the CMC community, and in full agreement with CMC’s doctrine, mission, and values
